Office Services Assistant
Job Description:
We are looking for an Office Services Assistant to join our team working weekdays, Monday – Friday, day shift. This role reports to the Director of Office Services. Office Services provides general support to the firm’s attorneys and professional support staff. This is a paid full-time position that is eligible for paid holidays, paid time off and benefits.
Responsibilities include:
- Office service functions including in-house and outgoing mail services and delivery; faxes; copying services; courier services.
- Conference service functions including conference room setup/tear down; cleaning conference rooms; picking up/setting up catering; assisting with catering orders.
- Reception duties including answering phones, greeting clients, transferring calls, and scheduling conference rooms.
- Maintain office aesthetics, restock pantries/copy areas, performing closing duties.
- Special projects as assigned.
Requirements and Expectations:
- Availability to work full-time Monday – Friday, day shift
- High school graduate or GED.
- Minimum of 1 year of office experience desired; strong preference for experience within a law firm or professional services environment.
- Strong client service mentality is a must.
- Working knowledge of Microsoft Office (i.e., Word, Excel and Outlook) and Adobe Professional.
- Proactive, energetic, and hardworking team player.
- Excellent interpersonal skills and the ability to effectively and professionally interact with all levels of firm personnel, outside clients, and clerks of court.
- Ability to maintain composure during stressful situations occurring as a result of workloads and/or deadlines. additional hours or overtime (over 40 hours) when requested and approved by the Director of Office Services.
Working Conditions:
- Use of privately owned and dependable vehicle. Proof of insurance required.
- Must possess and continually maintain a valid driver’s license with a clean driving record (No points, DUI’s, suspensions, or convictions for multiple and/or serious moving violations).
- Must be dependable and punctual regarding attendance.
- Must be able to lift up to 40 pounds and stand for long periods of time. Repetitive walking, bending, reaching, operating a computer and standard office equipment required. This is a non-sedentary position.
